Creating a Job Posting starts in SchoolFront within Recruiting. Once the Job Posting is created, it's then available within RecruitFront and on Indeed. The following are instructions on how to create a Job Posting and how to add a Tracker to the posting.

Add a New Job Posting
- Navigate to Recruiting / Job Postings / New Job Posting from your left navigation menu
- Your new blank job posting will display; for ease of data entry, expand the Details tab by clicking on the Up Arrow:
Common Job Settings

Check the box for "Active" - this will determine whether the Job Posting shows as Open or Closed in SchoolFront.
Note: If this posting is being created to replace an employee, select them from the "Replaces" dropdown menu. This is only for internal documentation purposes; it will not be on the posting.
- Complete the Required Fields (All Required Fields are marked with an Asterisk*)
- Job Title - This will be the title that appears on the Job Posting
- Job Category - Select from district defined categories
- Job Location - Select from district defined locations
- Date Post Appears - The first date you want the posting to appear
- Enter the Job Number
- Optional depending on district preferences
- Civil Service Title
- Enter the EXACT Civil Service title if the position is a Civil Service Position and differs from the Job Title

Pay Scale
- It is recommended to input a numerical entry in this field
- While not required, it is recommended to enter a number for the Pay Scale as Indeed will auto fill this field with their numbers for a position's average salary; this is quite common with something like a "Nurse" position, as Hospital Nurses have different salaries than School Nurses
- It is recommended to input a numerical entry in this field
- Enter Position Control
- Informational field for the Position Control Number of the Job in a financial system; optional depending on district preferences
- Post Disappears
- This is the last day the job posting will appear (at 11:59 pm). If this position is a continuous recruitment position (i.e. substitutes), this field can be left blank

Contact Email & Private Notes
- Enter contact email(s) to be notified whenever someone applies to the posting
- This is recommended for hard to fill positions; It is not recommended for positions that are anticipating a large number of applicants
- Private Notes - These are internal notes regarding the job posting; they are only seen by HR and are NOT seen by applicants. Some districts use this field to denote funding codes for the position.
External and Internal Job Settings
- Available on RecruitFront - Check box to post this to your district's RecruitFront Job Opportunities page

Job Application - Select the job application type from the dropdown menu
- Please Note: Only use the "Civil Service - Invite Only" Application type if you are using the SchoolFront Civil Service module for the position
- Post to Job Board - Checking this box will post the Job Posting on Indeed as well as the RecruitFront Job Board, which allows applicants to see the posting when searching in RecruitFront from another district's RecruitFront page
- Apply Online - This allows external applicants to apply on RecruitFront
- Onboarding Profile - Determines which onboarding forms the successful candidate will receive when hired

Question Set - Additional questions to ask external applicants when applying for the position
- Question Sets are set up during district configuration but can be added at any time; Speak to your Solution Architect to add a new question set to your system
Documents Required to Apply & Application Procedure:
Select all documents required to apply for the position and type up the application procedure instructions (if applicable). The Application Procedure is often used when the "Other" box is checked to explain what should be uploaded under "Other" upon applying.
Note: Applicants will not be able to apply to the posting without uploading each document selected here.
- Available Internally - Check this box to post the job to the Available Internal Job Postings menu on your SchoolFront site for your current employees to apply
- Onboarding Profile - Can be left blank as the procedure to hire an internal candidate is different than external candidates; You can also contact your Solution Architect to ensure you have Employee Profiles set up for hiring internal candidates and choose from there
- Question Set - Additional questions to ask internal applicants (if applicable)
- Documents Required to Apply - Documents that the internal applicant will need to upload when applying
It is strongly recommended that you check the box to add a new tracker to your job posting (steps outlined below), as this will automate many of the steps required when adding the Tracker after the job posting has been completed. Be sure to also check "Auto Add Job Applicants to Tracker" as outlined in step #6 below.
Add a Tracker to a Job Posting
Clicking the button "Add New Tracker" will display the New Tracker Information section:
- Add New Tracker - Check this box
- Tracker Name (Required) - Typically, the same or similar to the Job Posting Title
- Tracker Status (Required) - Ensure this is set to "Active"
- Title - Often just the Tracker Name is re-used here, as the title is found in menus
- Tracker Description - Describe the Tracker in detail for others viewing it, or for future use of the Tracker. This is also a place you can enter Tracker Reviewer instructions (optional).
- Auto Add Job Applicants to Tracker (Required) - Check this box (if not already defaulted as checked) to ensure that the applicants applying to the job posting are automatically added to the Tracker, and they will be added as Tracker Candidates
- Auto Add Notes to Applicant - When this box is checked, the notes the Tracker Reviewers add when reviewing candidates are copied to the District Applicant Notes tab, within each applicant's details.
- Tracker Location - Ensure this is set to the current school year
- Due Date - Optional, used to determine when the Tracker should be reviewed by; Helpful to Tracker Managers if they need to be aware of due dates for Board Agenda documents and hiring deadlines
- Hidden - When this box is checked, the Tracker will be hidden from Tracker Reviewers with "View Only" or "Add Comments" roles during the interview/hiring process; Tracker Managers and HR will still see hidden candidates
- Notes Template - Can be used to enter interview questions for an interview round; Tracker Reviewers will then be able to see these in the Candidate Dashboard and enter their Response Notes for each Candidate during or after the interview; When saved, these notes will be saved in the Candidate's Dashboard under the Tracker Candidate Notes tab
- Job Posting is Complete - When you've completed creating your Job Posting, click "Insert" or "Insert and Add Another"; Clicking "Cancel" will cancel the Job Posting and clear the form.

Sharing the Job Posting
- From My (or Open) Job Postings grid
- Locate the Job Posting and click on the magnifying glass

Use the scroll bar to locate the column "Job Posting URL"
- The URL link is created when you create the job posting and directs users to the active job posting on RecruitFront
- This URL can be copied for external sharing directly from the column entry
- The data in the "Job Posting URL" column can also be exported to Excel for mail merging and distribution of multiple Job Postings at one time

Internal Job Postings - Employee Groups
If the internal job posting should be limited to a distinct group of employees, instead of all employees, then selecting an employee group list is necessary. The posting must be marked "Available Internally" as mentioned in Step 1 of Internal Job Settings.

Navigate to Recruiting / Job Postings / Open Job Postings and select the internal job posting by clicking the magnifying glass

When the posting displays below, select the "Internal Employee Groups" tab:

Next click on "New Job Posting Employee Group List" to select any employee group that should see the internal job posting and click "Save":
