Prerequisite Steps
Before you can begin to configure the integration between SchoolFront and your social media accounts with Zapier as an intermediary, you must complete some prerequisite steps:
1. Ensure You Have an Appropriate SchoolFront Role for this Task
To use the Zapier integration to share job postings from SchoolFront to social media, you must have one of the following SchoolFront system roles:
- Recruiting Administrator
- HR Team
- HR Admin
- Administrator
If you do not have one of these roles but want job postings you add to SchoolFront to be shared on your organization's social media pages, contact SchoolFront Support for help.
2. Create an Account for Your Organization in Zapier
Your organization will need its own Zapier account to benefit from this integration. Follow these steps to create a Zapier account:
- Go to https://zapier.com/sign-up
- Complete the form to register for an account.
IMPORTANT: The email address that you use to set up your organization's Zapier account should be something that is not user specific. For example you might want to create a new email address specifically for this purpose associated with a distribution list called something like "zapier@schooldistrict.org" so that the email address will remain active regardless of employee turnover. You will likely need to request this email from your organization's IT Department.
3. Create a Fake Employee Record in SchoolFront for Zapier
Before the SchoolFront Support Team can grant you access to the Zapier integration, they will need a SchoolFront user account (an employee account) in your organization / district that is dedicated to Zapier. You must login to SchoolFront to create this account.
Click here for instructions: Add an Employee
This fake employee record:
- Only needs Personal Profile Role
- Should use the same email you created for your Zapier account.
- Should use a fake employee number like Zapier1
4. Contact SchoolFront Support to Request Zapier Integration Access
After you complete Zapier registration for your organization, contact SchoolFront Support with the email address you used for the Zapier account. Contact Support HERE
A member of the SchoolFront Support Team will configure your organization's access to the SchoolFront-Zapier integration using the email address you provided and will then send you an email with an invitation to use integration.
To receive the email, you will need to go to the email inbox associated with the email address you used to create the Zapier account. The email will have a link that you must click to complete your integration access.
5. Get the Account Credentials for Social Media Accounts
For Zapier to post content to your social media account(s), it must be granted access to the social media account(s). This means that part of the configuration includes linking Zapier to your social media account(s) using your username and password for those account(s).
Whoever handles the configuration of this integration must have access to the SchoolFront-Zapier Integration (granted by the SchoolFront Support Team, as mentioned in the Prerequisite step above) AND have access to the username and password for social media account(s).
Examples:
- District Facebook Page Username & Password
- District LinkedIn Company Username & Password
For some organizations, a Social Media manager or Communications Director may need to be involved in the configuration of Zapier if usernames and passwords cannot be shared. It is necessary that the social media account used have the permissions required to create and share new content, such as a Facebook Page Content Management access or LinkedIn Company Content Management access.
