If you have completed the prerequisite steps required before Zapier configuration can begin, follow these instructions to produce a single "batch" social media post every 24 hours that includes a list of all job postings created in the last 24 hours with the "Post to Job Board" checkbox checked, and includes links to each job posting.
A. Login to Zapier
- Open a web browser and navigate to https://zapier.com/app/login
- Enter the email you used when you created the Zapier account for your organization and click the Continue button.
- Enter the password you used when you created the Zapier account for your organization and click the Continue button.
B. Create a New Zap
- Click the orange +Create button in the upper left corner of the screen.
- Select Zaps from the list.
- In the upper left corner of the screen click the pencil icon and change the name of your zap from "Untitled Zap" to something like "Share Bundle Job Postings."
C. Configure a Trigger
In Zapier, the word "trigger" refers to the event that causes the zap to initiate. --In this example, the trigger will be 1 or more jobs posted in the last 24 hours.
- Use your mouse to select the Trigger box to configure it.
- In the Search field type "RecruitFront."
- From the list, use your mouse to select RecruitFront - Job Posting Batch (1.0.2).
- For the Event, choose New Job Posting Batch.
- Click the Continue button at the bottom right side of the screen.
- Click the Choose button to Choose and Account.
- Click +Connect a New Account.
- Enter the Username an Password provided to you by the SchoolFront Support Team when they configured your Zapier Integration access. If you do not have a username and password, please revisit the Prerequisite Steps above in this article, or contact SchoolFront Support for help.
- Click Yes, Continue to RecruitFront - Job Posting Batch (1.0.2).
- Click the Continue button at the bottom right side of the screen.
- Click Test trigger. The test should return records. If it does not, please contact SchoolFront Support for help.
- Click Continue with selected record button at the bottom right side of the screen.
D. Configure Action - Format
In Zapier, the word "action" refers to the thing you want Zapier to do after the trigger occurs --In this example, the action will be to format the job posting content Zapier receives from SchoolFront into something that will look attractive when posted to a page in Facebook.
- Click the + icon under the trigger box to add your first action.
- Under Built-in tools, select Format.
- In the Event field, select Choose an Event and then select Text.
- Click the Continue button at the bottom right side of the screen.
- In the Transform field, select Choose value and type Replace.
- Select the Replace radio button.
- In the Input field select the entry that begins with Job Posting U R L Summary.
- In the Find field type *newline* and in the Replace field type [:newline:]
- Click the Test step button at the bottom right side of the screen.
E. Configure Action - Format
This action will follow the previous action and further refine and format the SchoolFront job posting content for posting to Facebook.
- Click the + icon under the action box you just configured to add your second action.
- Under Built-in tools, select Format.
- In the Event field, select Choose an Event and then select Text.
- Click the Continue button at the bottom right side of the screen.
- In the Transform field, select Choose value and type Replace.
- Select the Replace radio button.
- In the Input field select Text in Formatter by Zapier and then the item that begins with Output:
- In the Find field type *tab* and in the Replace field type [:tab:]
- Click the Test step button at the bottom right side of the screen.
F. Configure an Action - Create Facebook Page Post
(skip F if you do not want to post to Facebook)
In Zapier, the word "action" refers to the thing you want Zapier to do after the trigger and preceding actions occur. --In this example, the action will be to create a social media post on Facebook.
- Click the + icon under the action box you just configured.
- In the Choose Action dialog, type Facebook into the Search field.
- Select Facebook Pages from the resulting list.
- Choose Create Page Post from the Event drop-down menu.
- Click the Continue button at the bottom right side of the screen.
- Click the Choose button to Choose an Account.
- Click +Connect a new account.
- Use your Facebook username and password to login.
Note: Facebook Pages is a secure partner with Zapier. Your credentials are encrypted & can be removed at any time. - Click the Continue button at the bottom right side of the screen.
- In the Page field click Choose Value and then select the Facebook page to which you wish to share job postings. In this example, the content will be shared on the RecruitFront Facebook Page.
- Place your cursor inside the Message field and an Insert Data dialog will open.
- Click New Job Posting Batch in RecruitFront - Job Posting Batch (1.0.2).
- Select the option that begins with District Name
- After the place holder is inserted for District Name, manually type something like "is hiring!" or "has exciting employment opportunities."
- Again, place your cursor inside the Message field and an Insert Data dialog will open.
- Select Text in Formatter by Zapier.
- Select the option that begins with Output
- Click the Continue button at the bottom right side of the screen.
- Click the Test step button at the bottom right side of the screen.
- Navigate to the URL for the Facebook page and see the post Zapier generated from the SchoolFront job posting content.
G. Add Steps for Additional Social Media Platforms
Repeat the steps in Step F for as many social media platforms as you wish to post to (and that are supported by Zapier), swapping out the Facebook username and password for the other social media platform(s).
