Viewing the Timecard's Audit Log and Snapshot Information
What Data is on the Report
The Time Cards Report lists Timecard summary information on a standard grid. By default, it lists information for 6 weeks of data (2 weeks future and 4 weeks past). Change the default "Pay Date" filter by updating either [Pay Date Start Range] or [Pay Date End Range] in the top menu of the report then [update] to refresh the grid. Figure 1
Each row represents a Timecard and contains the following summary information:
- Employee ID - Staff Id on the Timecard.
- Name - Full Name on the Timecard.
- Positions - Comma delimited list of Positions with hours on the Timecard.

Pay Period Pay Date - Pay Date for the Pay Period on the Timecard.
- Pay Period Start Date - The date the Pay Period starts.
- Pay Period End Date - The date the Pay Period ends.
- Total Hours - The sum of all paid hours.
- Regular Hours - The sum of all "Regular Hours".
- Overtime Hours - The sum of all overtime hours (holiday, weekly, daily, and consecutive day) .
- Straight Time - The sum of all "Straight Time" hours
- Holiday Hours - The sum of all paid "Holiday" hours that count towards OT.
- Absence Hours - All time off from the timecard (paid and unpaid).
- Unscheduled Hours - The sum of all hours worked outside of the work schedule taken into account grace periods set on the Position.
- Missed Schedule Hours - Non worked scheduled hours without a corresponding absence request. NOTE: The system considers shifts without both "Actual In" "Actual Out" Punches as missed. When adding them after the fact with an override, make sure you override the above fields or that shift will be flagged as missed.
- Shift Diff Hours - Sum of all hours that qualify for Shift Differentials 1-3.
- Early In Minutes - Sum of all minutes where the user punched in earlier then the "Minutes Punched In Before Shift" grace period set on the Position.
- Late In Minutes - Sum of all minutes where the user punched in later then the "Minutes Punched In Late" grace period setting on the Position.
- Early Out Minutes - Sum of all minutes where the user punched out earlier then the "Minutes Punch Out Early" grace period setting on the Position.
- Late Out Minutes - Sum of all minutes where the user punched out later then the "Minutes Punch Out After Shift" grace period setting on the Position.
- Missed Punches - # of missed punches on the timecard
- Sign Off By - The full name of the user that locked the timecard
- Payroll Sign Off Date - when the above user locked the timecard
- Bargaining Unit - the employee profile's Bargaining Unit
- Employee Approved At - only relevant when the Employee is allowed to approve their timecard. It is the date and time of the Employee approval
- Approval1 - Date and Time of approval, Full Name of Approver 1
- Approval2 - Date and Time of approval, Full Name of Approver 2
- Approval3 - Date and Time of approval, Full Name of Approver 3
- Remove Lower Approvals - Full Name or the user that last removed lower approvals on the timecard
- Pay Period Name - the "Name" of the Pay Period
- Comments - Comments from the Comments Tab on the timecard
- Time Card Export - Yes if the timecard was part of a financial feed export from the Time Card Totals grid
- Export Date - the date of the last export to Payroll from the Time Card Totals grid
- Work Locations - Employee profile's "Work Location" value
- Employee Work Location - The Staff Position's "Location" value
- Department - The "Department" value from the Employee Profile
- Active - True when the financial feed considers the Employee "Active"
Viewing the Timecard's Audit Log and Snapshot Information
Selecting a row on this report allows the user to view:
- Audit Information - the system tracks all timecard changes in a system audit log. Selecting the timecard opens the Details tab where system audit log events for the selected Timecard are listed on a grid.

- Legacy Snapshot history - the system in addition to tracking all timecard changes in a system audit log, takes a screen snapshot and saves it every time the timecard is changed. To view the graphical history of changes to a specific timecard, select the timecard's row on the grid, then the [Timecard History] tab
