Assignment of roles and responsibilities within your SchoolFront platform.
Roles
The following roles are login-based role definitions. Every SchoolFront user is assigned with a Personal Profile Only role for their own platform needs, however these additional roles are assigned to manage and maintain your district's SchoolFront platform.
Administrator
It is recommended for new districts to keep this role retained by your Solution Architect
- This role is responsible for your district's users and the setup and management of your SchoolFront platform.
Business Office
- Business Office users have access to Process Forms, Time & Attendance Modules (if purchased by your district), and other Human Resource operations within SchoolFront; All other access to SchoolFront EMS is limited to the individual's Personal Profile setting.
HR Admin
- Human Resources Admin users are able to add, edit, and view folders and information of employees in SchoolFront, depending on your district's specification for accessing personnel information. This includes Recruitment, Hiring, Employee information, Personnel Files, Salary Notices, Evaluations, Professional Development, Benefits Enrollment, and Staff Attendance.
HR Team
- Human Resource Team users will have the same permissions as Human Resources Admin except for some limited folder access, and they cannot share custom layouts.
Personal Profile Only
- This role is given to every district member to view and maintain their own SchoolFront Human Resources information. Depending on their district position, a person with this role may also have limited permissions in managing Trackers, Timekeeping and Attendance if they are department heads or part of hiring and interview committees.
Recruiting Administrator
- Recruiting Administrator users are assigned to staff within your district's Human Resource department. They are able to access all Recruiting menu options:
- Manage Job Postings, Manage Trackers, Manage Tracker Reviewers and Candidates
- Their responsibilities also include Recruiting Configuration and all table setups and are responsible for customizing and maintaining your district's SchoolFront/RecruitFront site, including the applicant portion of the platform. All other access to SchoolFront EMS is limited to the individual's Personal Profile setting.
Recruiting Coordinator
- Recruiting Coordinators are also assigned from staff within the district Human Resources department and have the following permissions:
- Manage Job Postings, Manage Trackers, Manage Tracker Reviewers and Candidates
- Change Applicant or Candidate statuses
Tracker Roles
The following roles are not login based and can be assigned to individuals within your district who participate in the hiring process. This typically includes interviewing candidates, uploading notes/documents regarding candidates and rating candidates.

Tracker Reviewers
Tracker Reviewers are staff members who participate in the hiring process and are assigned to Trackers to review candidates in general or review them as they relate to a job posting and Tracker. Tracker Reviewers are designated with the following roles within their assigned Tracker:
Tracker Manager
- Has the ability to change all aspects of the tracker including add/removing candidates, add/removing reviewers, update the reviewer status, add comments and/or files to the candidate(s) you are assigned to review, and update overall candidate status and ranking
Tracker Coordinator
- Same rights as a Tracker Manager, except they cannot: Add/Remove or Hide Candidates on a Tracker, Add/Remove Reviewers on a Tracker
Add Comments
- Can see items on the tracker, update the reviewer status, add comments and/or files to the candidate(s) that you are assigned to review
View Only
- Can see items on the tracker, candidates and reviewers but cannot change any information or provide notes. View Only Reviewers cannot create or send Candidate forms.
