SchoolFront Profiles are defined as a set of Tasks that need to be completed prior to employment. Tasks are part the Profiles for new employees, but Tasks can also be used for existing employees Profiles when an employee is changing position or if the employee is leaving (Offboarding). These are classified as "Employee Task Profiles".

Examples of Employee Task Profiles
Change in Position - Here are the examples of the Tasks that need to occur if an employee is changing positions:
- Pay Election Form
- Retirement Form
- Appointment Letter
- New Badge Creation
- Payroll informed of change information and their first day of the new position
Offboarding - Here are the examples of the different Offboarding Tasks:
- IT Department needs to terminate the employee's network account
- Security needs to be notified to deactivate badge
- Benefits department needs to be informed
- Laptop and any equipment need to be collected
- Payroll needs to know the last day of employment to process the paycheck
PLEASE NOTE: ALL NOTIFICATIONS AND FORMS SHOULD BE CREATED PRIOR TO CREATING THE PROFILES AND TASKS.
Step 1: Create Tasks
- Tasks are individual actions that need to be completed in SchoolFront by the employee.
Navigate to Task Management - Task Profiles - Tasks:
There are 3 different Task Types that existing employee profiles can include: Digital Form, Send Notification, Manual Step.
Digital Form - Select an individual form to submit as a task.
- Select New Task
- Select "Digital Form" in the Task Type drop-down
- Select the Form Category and Form
- Select New Hire
- Click Insert
Send Notification - Send Notification allows for users to send notifications to employees in order to facilitate a seamless internal communication process.
- Select New Task
- Select Send Notification in the Task Type drop-down
- Select the Notification Category and Notification Template
- Select "Self" and type the other email address
- Click Insert
Manual Step - Manual Step will send notifications (reminder) to employees within the school district to complete actions in order to complete the process.
- Select New Task
- Select Manual Step in the Task Type drop-down
- Type Task Descriptions
- Click Insert
Step 2: Create a Profile
- A Profile is a set of Tasks that need to be completed by employees in SchoolFront
Navigate to Task Management - Task Profiles - Profiles:
- Select New Task Profile
- Type in the name of the Profile (in this example, we used Offboarding)
- Select "Employee" from the Task Use Type drop-down
- Type a description
- Click Insert or Insert and Add Another
Step 3: Add Tasks to Profile
Adding Tasks together creates a Profile for different employee situations based on the position/role of the employee or future employee: Onboarding, Offboarding, Changing Positions.
Navigate to Task Management - Task Profiles - Profiles:
- Select the magnifying glass next to the Profile (in this example, we'll use "Offboarding")
- Select the Task Tab when the Profile displays below
- Next, select New Profile Task
- Select the Task from the list, and indicate if the task is automatic or manual and click Insert
