Different positions within your district require different forms and processes that your employees will need to complete prior to and throughout their employment. In SchoolFront, these are streamlined through Profiles and Tasks.
Profiles - A combined set of tasks to be completed in SchoolFront that contains one or more task types, with optional ordering and dependencies. Profiles can be used when an employee is hired, for different job category types such as:
- Teachers
- Administrators
- Nurses
- Coaches
- Food Service
- Custodial/Maintenance
They are also useful for life or employment events that require multiple actions, like a name change, promotion, or offboarding.
Here's an example of a teacher's Profile and the Tasks contained within it:
Tasks - Specific tasks that need to be completed depending on the job category. They are internal processes that are contained throughout various Profiles:
- Benefits Enrollment
- Tax Forms
- Oath of Office
- Direct Deposit
- Receipt of Board Policies
- Copy of Social Security Card
- Driver's License
Task types can be notifications, process forms, manual tasks, etc. They can be initiated automatically or manually, depending on the need to wait for a previous task to complete. Tasks are also able to be used across multiple Profiles, and they are assigned to Job Postings.
Profiles contain Tasks. It doesn't matter which is created first, however if the Profile is created before the Task, then it is necessary to go back into the Profile to add the Tasks.
To set up and define your district's Profiles and Tasks, it is important to brainstorm and decide on these prior to creating them in SchoolFront.
Here are some examples of Profiles:
Here are some examples of the tasks associated with a Profile:
A few key points:
- Tasks can be reused across multiple profiles
- Profiles can be associated to Job Postings for onboarding, initiated manually for an employee from the Active / All Employee grids or the Employee Task Lists. They can also be associated to a form and automatically be initiated on completion of that form.
- Profiles have a set of common attributes
- Automatic - whether the item should trigger with or without human interaction
- Sort Order - the order the tasks should be executed
- Wait for Previous Task - prevents the task from automatically being executed or for appearing to be manually initiated
