By default, when an user sends an email notification to one or more recipients via SchoolFront, the email address is delivered with the sender's email address as the "from" email address.
If you are interested in having some of your emails appear to come from alternative email address (such as a distribution list that can accept external emails), an approved set of email addresses can be configured by your solutions architect for use as email masks. If no email addresses are approved and configured for this purpose, the functionality will be hidden when notifications are sent and all notifications will appear to come from the authenticated sender's work email address.
Example: Sally Smith is an HR Administrator who emails information to job applicants via SchoolFront. She wants the emails she sends to be from "HROffice@SchoolDistrict.org" rather than from "SallySmith@SchoolDistrict.org" so that if applicants reply, the email response will go to all members of the HR Office distribution list and not just to her.
The following SchoolFront Roles can change the sender to an email mask:
- Administrator
- IT Administrator
- HR Admin
- HR Team
- Business Office
Approved Email List Setup
(This Must be Done by Solutions Architect / SchoolFront Support Team)
Setup of an approved email mask list must be done by a Solutions Architect. If you have one or more email addresses that you would like made available for this purpose, contact your Solution Architect and send them the list of email addresses. The Solution Architect will work with SchoolFront Support to test the email masks and then will configure the list after they've confirmed that all of the addresses will function properly.
If any of the email addresses are tested and fail, they will work with you to resolve the problem or you may need to eliminate the address as an optional "from" address.
Choose a "From" Address When Sending a Notification
- Initiate a notification from one of the grids.
- When the "Send Notifications" window opens, select "Use Email Mask" in the "Sender" section of the form.
- Select the email you want to use as the "from" address from the drop down menu called "District Email Masks."
- Complete the rest of the notification configuration as normal and send. The email(s) sent will appear to be from the email you selected.
Note: If there is no "Sender" section visible in the Send Notifications window, then your district does not yet have a list of approved email masks configured in SchoolFront. You must contact your Solution Architect to request that your district list be configured (see above).
Choose a "From" Address When Configuring a "Send Notification" Task
- Go to Task Management > Task Profiles > Profile Tasks
- Create a new task with the "Send Notification" Task Type, OR select an existing Task with the "Send Notification Task Type and edit it.
- Select the email you want to use as the "from" address from the drop down menu called "District Email Masks."
Note: If there is no "Sender" section visible on the Details tab of the Task, then your district does not yet have a list of approved email masks configured in SchoolFront. You must contact your Solution Architect to request that your district list be configured (see above).
