District Pay Variables are created by Solution Architects or BOCES Support Administrators for your district within the SchoolFront platform. They can be used within Claim Forms to log and track work performed that is to be paid out separately from an employee's salary.

Create Pay Variables
*Applicable Roles: Administrator or Solution Architect Only
Pay Variables need to be created first by your Solution Architect or SchoolFront Administrator before they can be used in a Claim Form
- Navigate to Feature Administration in the left navigation menu, then in the Human Resources section click "Pay Variables":
- Click, "New District Pay Variable"
- Enter the Pay Variable Name, Pay Variable Identifier and Pay Variable Description
- Click "Insert":

- Navigate to Process Forms/Form Category Management:
- Click "New Form Category"
- Select "Claim Form" from the Form Type dropdown menu
- Enter the name, and description of the Form
- Click "Save":
- Next, select Process Forms/Form Management
- Select "New Process Form"

In the Details section of the form, select the Process Category from the dropdown menu
- Enter Form Name
- Click the "Enabled" box
- Enter the form description and select all other pertinent form options based on the form (Folders, Tasks, Display options, Introduction/Email Paragraphs etc.):
- Scroll down the form to "Claim Form Settings" and enter the settings required for the form.
- Once completed, click "Insert" at the bottom of the form:
- Next, select "Template Builder" within the form to begin customizing the form:

In this example, we have added tables with a logo and header and have added tables with fields to be populated along with custom fields. Notification Markers specific to Claim Forms can also be used within your form:

Here are the examples of Notification Markers that can be utilized within a Claim Form:
- Once you have completed designing your form in the template builder, click "Save".
Pay Codes

To enter Pay Codes within the form, click the "Pay Codes" tab

Click "New Claim Form Pay Code":
- Select the Pay Code by checking the box
- Click "Save":
Adding Employee Pay Variables
- Navigate to Human Resources / Employee Pay Variables in the left navigation menu

Click "New Pay Variable"
- In the Details section of the New Pay Variable, select the staff from the dropdown and the Pay Variable from the dropdown.
- Enter the Effective Start Date and End Date
- Enter the Salary Value or Hourly Value and Per Value
- Click " Insert"
Importing/Exporting Employee Pay Variables
- Navigate to Import/Export - Import Employee Pay Variables:
- From here you can choose to Export the file, and the pay variables will download to an excel spreadsheet:
