Configuring "Submit on Behalf of Groups" on a form, allows a group of individuals the ability to submit a form from the Active Employee Grid. In order to submit, they will also need access to the employee, and the ability to submit the form.
Applicable System Roles:
- Administrator
- Human Resources
Pre-requisites: Process Form Configuration & Management and Using Process Forms sections.
In the left navigation menu, click "Process Forms" then "Form Management"
Select the Form you wish to add authorized user access to by clicking the magnifying glass, then select "Submit on Behalf of Groups" from form displayed below and click "New Group":
Select the employee group that should be allowed access to the form and click "Save":
Next, navigate to the Active Employee grid and select the employee(s) that need the form. If the employee(s) are not viewable in the active employee's grid to the user submitting the form, you must give that user access to the employee(s). If there are multiple employees that need the form, then a Mass Edit can be performed, see article Mass Editing Employees for steps on how to perform a Mass Edit. For this example, click the box "Grant Access to Selected Employees" and select the employees from the drop-down menu. Click "Submit Forms" and "View Employee" and click Update when completed.
The user that you configured to have "submit on behalf of group" will now be able to select the "Process Forms" action from the drop-down (see image below):
The users that have "Submit on Behalf of Groups" rights will now see the categories and forms that they have rights to.
