There are times that a staff member may not have an elevated SchoolFront role but may still need to view other district employee information relating to: form submissions, limited demographic information about the employee, and Time and Attendance information (if that module has been purchased by the district). The following will guide you through that process.

Navigate to: Active Employees
Access Granted
This tab is used to give an employee access to other employee's records in SchoolFront
- Select the employee by clicking the magnifying glass
- In the lower half of the screen, click the "Access Granted" tab
- Then click "New Access Granted Entry" to add employee(s) records to the selected employee

In the "Manage Staff Granted Access" pop-up, select the employee(s) that that the employee you selected in Step 1 will have access to
- In the Access Rights section at the bottom of the window, select which rights you are granting by checking the boxes
- Click "Save" when complete

The employees are now listed in the Access Granted tab:
Access Control
This tab is used to give access to this person's employee record to other employees (like a supervisor for example)
- Select the employee by clicking the magnifying glass
- In the lower half of the screen, click the "Access Control" tab

Then click "New Access Control Entry" to provide access of the selected employee's records to other employee(s)

In the "Manage Employee Access Control List" pop-up window, select the employees who will have access to the employee's records you selected in Step 1
- In the Access Rights section at the bottom of the window, select which rights of the employee's record(s) that you are granting to the staff members, by checking the boxes
- Click "Save" when complete

The employees who can access the selected employee in Step 1 will now be listed in their Access Control tab:
Using Access Granted & Access Control with Mass Edit
In the following example, we will assign "Peter Parker" a user with a PPO role, the ability to view 6 of his employees' SchoolFront information through the Mass Edit action, in Active Employees:
Access Granted

Select the employee(s)* Peter Parker should have access to, by clicking the checkboxes to the left of the magnifying glass (Note: This process can also be followed for a single employee as well as multiple employees)

Locate the action button, "Mass Edit" (depending on your view it may be listed under "More" or a stand-alone button at the top of the grid):
- In the "Mass Edit Employees" pop-up:
- Confirm the number of employees you will be granting "Peter Parker" access to
- In the Employee Access section, check the box for "Grant Access to Selected Employees"
- From the drop-down, locate "Peter Parker"
- Check the box for "View Employee"

Depending on the need and access you are granting Peter Parker to view about his employees, you would also check the available boxes regarding: Submit Forms, View Attendance and View Attendance Balances

- Click Update
- To verify, in Active Employees, locate the employee you granted the access to (Peter Parker) and click the magnifying glass
- In the lower half of your screen, click the "Access Granted" tab

This displays the employees he can view from steps 1-4 above
Note that in the grid example above, there are checkmarks listed under "View Employee" had other options been selected in step 3, those corresponding columns would also display a check.
Access Control
- Select the employees you will be granting access to be able to view another employee's records by checking the boxes to the left of the magnifying glass and follow the same steps 1-3 as Access Granted above
- In the "Mass Edit" pop-up, confirm the number of employees you've selected that will have access to this employee's records
- In the Employee Access section:
- Check the box for "Grant Selected Employees Access to"
- From the drop-down, locate "Peter Parker"
- Select Access options by checking the boxes

Depending on the need and access you are granting the employees about the employee selected in step 3, will determine which boxes you are selecting

To verify, click the "Access Control" tab to view the list of employees that now have access to the selected employee from step #3.2 above:
