HR Hub Setup Guide

Congratulations on the purchase of your new HR Hub.  This guide will walk you through the process from unboxing to fully deploying your new device.  Feel free to reach out to SchoolFront Support or your BOCES team should you need any assistance along the way.

Before Your HR Hubs Arrive

  • Survey physical installation locations
    • HR Hub
      • Weight: Approximately 12lbs with RFID scanner and wall mounting bracket
      • Dimensions: 12.57" x 20.7" x 2.07" (assumes portrait mount)
        • RFID Device will add 2" in the direction it is mounted
      • Humidity Operating Range: 20% to 80%
    • Wall mount (Manufacturer Details) 
      • Minimum drywall width is 3/8" for studless installation
      • SNAPTOGGLE Studless anchors provided with washers and required bolts
      • Grip-Rite #6 1-5/8" Phillips Bugle-Head Drywall Screws for Stud Install
    • Grounded 110v Power availability (comes with 6ft cord)
      • NEMA 5-15P to C5 (Mickey Mouse) 10A 125V 18AWG Cord 0a7250bd-23e6-465b-a0ce-1934a1af23c4.jpg
    • Optional wired network access (support wireless)
      • Ethernet cords are not provide
    • Location Suggestions

      • Do not mount where a door or other furniture can hit it

      • Ideally placed in a low student traffic area

      • Portrait mode provides the best end-user experience

      • Ideally attached to UPS Battery Backup
  • Setup Time and Attendance (LINK to To be created KB Article)
  • Setup Active Directory OUs dedicated to HR Hubs
    • Do not install traditional client software to the HR Hubs ie., Microsoft Office, Google Drive, Zoom Client, etc.
    • Do not turn off the OS automatic system restore
  • Submit HR Hub Configuration Questionaire (LINK to TB Created Ticket Type)
  • Get an Excel Spreadsheet with 2 columns, EmployeeID and RFID Card Identifier, and provide data for HR Hub users

1. When unboxing, please confirm you have the following:

  • White envelope including SchoolFront Team Setup Checklist (confirms items are in the box) and HW
    • The Setup Checklist label will contain the default Windows Administrator Password as well as the SiteKiosk Admin Password
  • Touch Screen Computer
  • Mounting Kit (Dependent on selections, will be wall mount or tabletop) (CONFIRM FITS IN BOX)
  • Mounting HW (4 drywall screws for stud installation, 4 drywall anchors, 4 washers, and 4 bolts for studless installation) (SCREEN CAPTURE with Link to specs)
  • RFID Scanner placed where specified by Arrow Post-it
  • Power supply and cord

What's not included:

  • Non-drywall mounting hardware
  • Ethernet cable (only required if you do not want to use wireless)

Immediately reach out to support if you are missing anything above and reference the device serial number and device name.

Software installed on the HR Hub

  • Microsoft Windows 11 IOT
    • The customer is responsible for keeping up to date
  • SchoolFront HR Hub Application
    • SchoolFront Team will email when updates are available
  • SiteKiosk
    • AppWatchdog.js - auto starts SchoolFront HR Hub should it be stopped 
    • SchoolFront Team will email when updates are available
  • SchoolFront HR Hub Screen Capture Tool
    • SchoolFront Team will email when updates are available

2. Physical Installation

Mounting

  • Weight: Approximately 12lbs with RFID scanner and wall mounting bracket
  • Dimensions: 12.57" x 20.7" x 2.07" (assumes portrait mount)
  • See paper instructions provided with the purchased mounting kit (LINK TO SCANNED VERSION)

3. Adding to your Network

  • You are responsible for maintaining Windows updates, HR Hub updates, and virus protection
  • Default password provided on HR Hub checklist, please change and / or disable once added to your domain
  • Add the computer to your domain
    • Make sure system time is synched
    • If you push updates via AD< please create a specific OU that will only push needed updates
  • HR Hub needs HTTPS access to the following IP Ranges:
    • 157.238.136.176-183
  • If necessary in your environment please whitelist the following executables:
    • JOSE TO GET FOR SF Kiosk
    • SiteKiosk
    • Adams Snapshot tool
  • Install the latest Microsoft Updates
  • TODO make the screen capture publish automatic
  • TODO make it so it is keyed off of an environment variable
  • You can turn off automatic screen push via??????????
  • Testing connectivity
    • Offline scrolling banner should not exist across the top of the HR Hub (SCREEN CAPTURE)
    • Open a browser and navigate to https://app.schoolfront.com

4. Confirming Functionality

  • Swipe an RFID card (LINK)
  • Submit a punch for a test user (LINK)
  • Submit a form for a test user (LINK)

Troubleshooting

  • HR Hub is offline....network putz
    • Punches are still queued and will not be lost
  • RFID badge not recognized (LINK)
  • The employee doesn't have an active position (LINK)
  • Missing Ancillary Job (LINK)
  • HR Hub will not boot
    • Do you get a post screen
    • If not, Is it plugged in and is power available
    • If yes
      • System restore provided named SchoolFront HR Hub Default
      • You may need to Repeat Adding to your Network steps if restored
  • RFID device stops working
  • Register KIOSK with SF
  • Kiosk Application is not visible
  • Boot into Admin Mode bypassing SiteKiosk
  • Kiosk Keyboard shortcuts
  • Nuclear button in the upper right

  • Please follow the instructions provided by the manufacturer
