In order to mark employees absent you must first have an Emergency Close/Snow Day attendance code set up in your system.
Go to Time & Attendance- Setup-Absence Code
Verify that you have an Absence Code for Emergency Close/Snow Day and that the settings have the following checked.
- Use As Attendance Code
- Use For Mass Attendance
- Use On Time Card (If using for Time & Attendance)
Go To Attendance -Daily Attendance
Choose the date of the closure and Select Initiate Attendance
- Select the users that will receive Snow Day
- Select Absence Code
- Select Full/Half Day
- Click Absent
Confirm the number of records by clicking Yes
Grid will show Emergency Close/Snow Code on the date you selected.
Existing Absence Request -Emergency Close/Snow Day
If you have staff that get their time back for a snow/emergency day, below is the recommended method to do this:
- Go to Attendance grid
- Filter on date of the snow day
- Filter on the Entry Status column and exclude Canceled
- From this list, do additional filtering based upon Absence codes that need to be deleted.
- Created a notification in the Staff Attendance Category that you should send out prior to deleting. On the notification check the Add to Personnel Folder to add this notification to the Attendance folder.
Next – select Delete above the grid
Select Delete Entry and Absence request form and Confirm Delete
Additionally – if you want to mark this date on the Calendars as a Snow Day – go to Time & Attendance – Setup – Work Calendars, select each Calendar and add the Event Snow day to today.
