SchoolFront offers the position of Substitute to any district utilizing our IVR/Sub Calling feature. Please follow the steps below learn how to setup the substitute position, Setup other positions to require a substitute, setup a new employee as a substitute, how to change a current staff member's position to substitute, and how to manage substitute preferences.
Setup Substitute Position:
1. Login to SchoolFront as an Administrator, Attendance Administrator, Attendance Coordinator, Attendance Supervisor, Benefits Coordinator, HR Admin or HR Team.
2. Go to Time & Attendance -> Setup -> Positions
3. Click "+ New Position" button above the grid.
4. Utilize this article (Positions) to help you fill out required information.
5. Ensure that the Checkbox labeled "Substitute Position" is checked before saving.
a. You can change any current position to a sub position by clicking on the position, then pressing the edit button under the "Details" tab.
Setup Other Positions To Require A Substitute:
1. Login to SchoolFront as an Administrator, Attendance Administrator, Attendance Coordinator, Attendance Supervisor, Benefits Coordinator, HR Admin or HR Team.
2. Go to Time & Attendance -> Setup -> Positions
3. Click "+ New Position" button above the grid.
4. Utilize this article (Positions) to help you fill out required information.
5. Ensure that the Checkbox labeled "Is Sub Required" is checked before saving.
a. You can change any current position to requiring a sub by clicking on the position, then pressing the edit button under the "Details" tab.

Manage Substitute Preferences:
1. Login to SchoolFront as someone with a substitute position or a substitute manager.
2. Go to Time & Attendance -> Substitutes -> Substitute Preferences.
NOTE: This grid can be filtered using the date range above the grid. This date range sorts the substitutes based on the start and end dates of the substitutes in your system. When a date range is selected, the system will recalculate the sub request data totals for the requests that occurred within the date range selected. Personal Profile Roles do not have access to the date range filter.
3. Click on your/their name.
4. Go to the "Schedule" tab to mark yourself/them as "Available to Sub" or add "Non-Working Times"
5. Go to the "Notification Preferences" tab to change how and when you/they would like to be contacted about sub opportunities.
6. Go to the "Work Location Preferences" tab to adjust the preferences of buildings/grade levels you/they are willing to work with.
